1. Who we are

ICON Imagineering, LLC ("ICON," "we," "us") operates ICON Field Service Management (ICON FSM) and the website iconimagineering.com. This Privacy Policy explains how we collect, use, and share information when you visit our marketing site, create a company account, or use the Service.

2. Information we collect

• Account & billing data: name, business name, email, phone, address, plan selection, and payment-related identifiers from Stripe (we do not store full card numbers).
• Customer Data you upload: job details, homeowner/customer contacts, estimates, invoices, memberships, diagnostics media, location/tracking data, and similar operational records.
• Communications: call audio/transcripts and SMS/email content when you enable Twilio, Resend, or AI voice features.
• Usage & device data: approximate logs, IP address, browser type, and product analytics needed to operate and secure the Service.

3. How we use information

We use information to provide and improve ICON FSM; process subscriptions; enable dispatch, field, billing, and voice features; send transactional messages; prevent fraud and abuse; comply with law; and communicate product updates you request.

4. Processors & subprocessors

We use trusted service providers to operate the platform, including:

• Supabase — database and authentication infrastructure.
• Stripe — subscription billing and Connect payments.
• Twilio — voice and SMS when enabled.
• Resend — transactional email.
• Mapbox — maps and routing displays.
• OpenAI / AI providers — assistant and voice-related language processing when enabled.
• Hosting providers (e.g., Vercel / Render) for application delivery.

These providers process data under their own privacy terms and our contractual arrangements.

5. Roles: controller vs. processor

For marketing-site visitors and our B2B subscriber contacts, ICON generally acts as a controller. For Customer Data about your end customers that you enter into ICON FSM, you are the controller and ICON processes that data on your instructions to provide the Service. You are responsible for notices and consents owed to your end customers.

6. Sharing

We do not sell personal information. We share data with processors listed above, with professional advisors when required, and when compelled by law or to protect rights and safety. Business transfers (merger or acquisition) may include transfer of account data with notice where required.

7. Retention

We retain account and Customer Data for as long as your subscription is active and as needed afterward for backups, dispute resolution, legal compliance, and legitimate business records, unless a longer or shorter period is required by law or agreed in writing.

8. Security

We implement administrative and technical safeguards appropriate to a B2B SaaS product, including access controls and encrypted transport. No method of transmission or storage is perfectly secure. See also our Security page.

9. Your choices

Account holders may update profile information in-product or by emailing us. You may request deletion of your company account subject to legal retention needs. Marketing emails (if any) include unsubscribe options. For California or other regional rights that may apply, contact us at the address below.

10. Children

The Service is directed to businesses, not children under 16. We do not knowingly collect personal information from children.

11. Changes

We may update this Policy by posting a new version with a revised effective date.
